Project Synopsis
ZeNXL, a third-party international logistics company, receives orders from both Indian and global customers for the delivery of goods. Depending on the nature of the items and required delivery timelines, they transport goods via land, sea, or air. To execute these deliveries efficiently, ZeNXL leverages a network of onboarded transport service providers, along with other available logistics partners in the market.
Project Requirements
Previously, ZeNXL managed its operations using Excel sheets, with updates made manually by operators based on incoming calls and information. These documents were then circulated via email and modified multiple times by different team members before final approval. This process was not only time-consuming but also prone to human error. When mistakes occurred, they often went unnoticed until later stages, triggering a chain reaction that disrupted overall operational workflows.
Given that multiple users were involved in handling and updating these documents, the risk of errors increased significantly, leading to inefficiencies and additional time spent on corrections and coordination.
To address these operational inefficiencies, ZeNXL approached OpenTeQ for a solution to eliminate manual documentation and reduce time lost in error rectification.
OpenTeQ recommended automating their processes through a custom-built web application. This solution enabled ZeNXL to seamlessly record and manage Import/Export data while generating reports in various formats such as graphs, bar charts, and Excel files based on user-defined time periods.
The application also introduced automated notification services, providing real-time updates to both clients and customers regarding delivery tracking and status. Additionally, it offered revenue analytics to help ZeNXL’s leadership make informed business decisions.
Solution Implementation
As part of the solution, OpenTeQ developed a role-based web application that ensured controlled access for different users. Each user was granted permissions based on predefined roles—allowing them to either enter or view data, while restricting their ability to edit or delete information, thereby maintaining data integrity.
The application featured three primary user roles in addition to other specialized logins.
The Super Admin had full access and could perform all CRUD (Create, Read, Update, Delete) operations across the system. The Admin had limited control, with the ability to add and edit data at various levels. The Operator role was designed with restricted permissions—allowing data entry and limited editing. For any further modifications, operators could submit requests for approval or escalate to higher authorities.
Once data entry was completed, the system automatically generated detailed reports including daily, weekly, monthly, quarterly, half-yearly, and yearly summaries of imports and exports—presented through graphical visualizations such as bar charts and graphs for improved analysis and decision-making.
Results
The implementation of OpenTeQ’s customized web application solution transformed ZeNXL’s operational workflow from manual, error-prone processes to a streamlined, automated system. With clearly defined user roles and access controls, the application ensured data integrity while minimizing manual intervention and reducing errors. The automated reporting capabilities enabled ZeNXL to generate detailed Import/Export analytics in real time, empowering strategic decision making through graphical insights and on-demand reports.
Additionally, automated notifications and real-time tracking enhanced communication between clients and customers, improving service transparency and client satisfaction. As a result, ZeNXL significantly improved operational efficiency, reduced turnaround times, and scaled its services more confidently across PAN India, positioning itself as a tech-driven logistics leader in the 3PL space.
